We are new to Ataccama’s RDM app and have a question regarding the retiring and archiving of reference data. It appears that “Published” is that last state for reference data within the app. Any workflow statuses that we would create for custom workflow happens between “Edited” and “Published”, by design, so there does not seem to be the ability to create a “retired” state.
Yes, we could use versioning and create a business date that could be used in querying/filtering the data, but that both adds unnecessary complexity AND the data still “shows” in the Published view mode. In terms of the application, we could also delete the data, but we have various user groups that do not delete data as best practice, and don’t want to go that route.
What have others done to reflect “retired/archived” reference data?

The delete action in RDM doesn’t actually delete the record, rather it marks it as “deleted” and record disappears from Published view but is still accessible in History and All History views.

The difference we’d see between a deleted record and a retired/archived record is that a deleted record would truly be deleted (e.g., a mistake was made and the history of the record could be kept, but the record would not exist in any other state). A retired/archived record would exist in a retired/archived state (those terms are synonymous in this discussion).
If a delete is utilized to remove a record from the Published view, how would I pull up/view all “deleted” records? Some things I’ve considered are to put a tag of “retired” on the publish action of the delete - but I can’t find a way to use the Tags] column in the filter or advanced condition of the All-History view mode to make that useful. Even when selecting all columns in the export, Ataccama-generated columns are not exported.
Any thoughts on that are welcomed, thanks!
The easiest way to get all deleted records is to use mode-specific filters in All-History view. It is available in Setup filters section of View mode selector.
The same filter will allow you to filter using Tags
