If you're working with task management in Ataccama, you might have questions about how tasks function, what customization is available, and how notifications are handled. In this article, we’ll break down the key features of the task system - covering task statuses, task visibility, and email notification options.


What task statuses are available in Ataccama?

Ataccama supports three built-in task statuses:

  • New
  • In Progress
  • Completed

However, if you need more flexibility in how task progress is tracked, you can explore custom statuses within workflows. This can serve as an effective workaround in more complex workflow automation scenarios.


How long do completed tasks remain visible in the task overview?

Once a task is marked as completed, it continues to appear in the Ataccama task overview panel. By default:

  • The system retrieves and displays the 30 most recent tasks, sorted by creation date (newest first).
  • Tasks are not removed based on time, but older entries may be hidden due to pagination limits.

To access older tasks, simply scroll or use pagination controls in the UI. There is no predefined expiration period, so your tasks remain retrievable unless manually removed.


Can users receive email notifications for task assignments?

By default, task-related alerts appear in the notification section of the Ataccama platform. However, if your team requires email task notifications when tasks are created or assigned, it’s possible to configure this by adjusting the runtime server settings and adding specific Java parameters. This functionality isn't available out of the box, but it can be enabled with the help of the Ataccama professional services team.

This feature is especially useful for teams managing data quality review workflows, where immediate email alerts can streamline communication and accountability.

@anastasiia.popova We are using Task Management heavily for our metadata updates / approvals, and policy management reviews.  We have a requirement to build KPI Metrics to report progress of our metadata enrichment initiative. Please advise where this data can be collected from; for example Task Type, create date, publish date, etc.

@anastasiia.popova is there any retention capabilities for tasks so old tasks can be deleted.

It should be possible to fetch task details - like type, status, and timestamps - via GraphQL API. For help building the exact queries, we recommend reaching out to our Professional Services team, who can assist with setup and integration. Let us know if you’d like help getting started!

As for task deletion, this isn’t currently supported, however, we encourage you to share your feature request on our community page.
